How long does UniAsset keep my data?
While your organization is active
Indefinitely. There is no automatic expiry of your records.
Asset history, service records, work orders, incidents, and billing events accumulate and stay. There is no rolling window that quietly drops old data.
History is append-only. Asset timelines, billing events, escalation logs, stock ledger rows, and incident snapshots are written once and never modified or deleted — by anyone, including support.
When you archive something
Archiving is not deletion. Assets, documents, images, people, locations, departments, categories, statuses, custom fields, PM rules, and checklist templates all archive.
An archived record leaves active lists, reporting, and alert evaluation, and nothing is lost. The action is reversible.
Archiving a document or image frees its storage quota while the file itself is retained so you can unarchive it.
When you delete an organization
This is the only path to permanent erasure, and it is Owner-initiated.

After permanent erasure, no customer file remains.
Files are erased before any record is removed, and the process aborts rather than proceeding if file erasure fails — retaining data is preferred over leaving orphaned personal files behind. After deleting the files it knows about, erasure sweeps the organization's entire storage prefix so no orphan can survive.
What is deliberately not deleted
Provider-hosted documents that do not live in UniAsset's storage — invoice and receipt links, hosted invoice documents, and any webhook URL you configured pointing at your own systems.
Your own retention policy
As the data controller, how long you keep records is your decision.
UniAsset gives you the tools:
- Archive what you no longer need active — reversible, and it frees storage
- Dispose of assets that have left, on Odyssey and above
- Export anything you need to retain outside UniAsset
- Delete the organization when you are finished with it entirely
Configurable automated retention policies are not available.
