What Counts as a User?

Every person with login access counts as one user, regardless of:

  • Their role (Owner, Admin, Manager, Employee, Viewer)
  • How often they log in
  • What permissions they have

Available Roles

All plans include all five user roles:

RoleDescription
OwnerFull access, can delete organization
AdminManage assets, categories, settings
ManagerCreate and manage assets
EmployeeView and update assigned assets
ViewerRead-only access

What Happens at the Limit?

When you reach your user limit:

  • You'll see a notification
  • You cannot invite new users
  • Existing users retain full access
  • Users can still log in and work normally

How to Free Up User Slots

Remove Inactive Users

  1. Go to Settings → Users
  2. Identify users who no longer need access
  3. Click Remove next to inactive users

Review User Roles

Consider if everyone needs login access:

  • Could some users share a login?
  • Do all users need individual accounts?
  • Are there former employees still listed?

Upgrading for More Users

Need more user capacity?

  1. Go to Settings → Billing
  2. Select a higher plan
  3. Complete the upgrade
  4. Invite additional users immediately

Frequently Asked Questions

Can I add more users without upgrading?

No, you must upgrade to a higher plan for more users.

Do pending invites count toward the limit?

No, only active users count. Pending invitations don't use a slot until accepted.

What if a user leaves my organization?

Remove them from UniAsset to free up the slot for someone new.

Can I temporarily exceed the limit?

No, the limit is enforced immediately. You cannot invite users beyond your plan's limit.
