How many users can I have in UniAsset?

What counts as a user
Only sign-in accounts.
People — the records assets are assigned to and checked out to — do not count. A 5-user Nova organization can have hundreds of People.
This matters more than the limit itself. If someone needs to be assignable but never needs to log in, create a Person. No seat is used.
Typical cases: contractors who borrow equipment, warehouse operatives assets are assigned to, anyone whose name needs to appear on records but who will never open UniAsset.
Pending invitations
A seat is checked against the limit before an invitation is sent, so outstanding invitations occupy a place in the count.
Freeing a seat
Deactivate users who have left. Deactivation revokes access immediately, preserves all their history and attribution, and frees the seat.
Their Person record stays, so assignment and custody history survives.
Common questions
Can I add more users without upgrading? Not beyond the limit — but check whether they need to sign in at all. Many do not.
What happens when a user leaves? Deactivate them. Their history stays attributed to them and the seat is freed.
Can I temporarily exceed the limit? No. The check runs before the invitation is sent.
Do deactivated users count? No.
Who can invite users? Owners and Admins. Only the Owner can change roles or deactivate users.
How do I see my current count? Settings → Plan & Usage, Owner only. Warnings appear at 80%.
