How to export your data from UniAsset

Everything exports. Your data is yours, and you are never locked in.

Requirements

  • Available on: All plans
  • Roles: Owner, Admin, Manager

Exporting assets

  1. Go to Dashboard → Assets (Individual).
  2. Apply your filters first. You export what you can see.
  3. Export.

The export includes your custom fields.

Tip Filter before exporting rather than after. Filter state is part of the URL, so a filtered view can be bookmarked or shared with a colleague — and you avoid trimming a spreadsheet by hand.

Exporting reports

  1. Go to Dashboard → Reports.
  2. Open the report and apply any filters.
  3. Export to CSV, Excel, or PDF.

The Fixed Asset Register

(Orbit and above)

The Fixed Asset Register snapshot export is a point-in-time statement of gross cost, accumulated depreciation, and net book value per asset — and it can include disposed assets.

This is the one place a report becomes a fixed artefact, which makes it the right thing to keep at year end. See Depreciation and asset value reports.

When to export

  • Before a bulk update, so you can compare afterwards
  • Before deleting an organization — erasure is permanent
  • At year end, particularly the Fixed Asset Register
  • Before an audit, to hand over the evidence
  • Periodically, as your own extract

What an export is not

An export is a point-in-time extract, not a backup you can restore from. There is no route to re-upload an export and reconstruct an erased organization.

For everyday recovery, UniAsset's own protections matter more: assets, documents, people, locations, and categories are archived rather than deleted, and archiving is reversible. See Backups and reliability.

Troubleshooting

There is no export option. Exporting needs Manager or above.

The export is empty. Your filters exclude everything. Clear them and try again.

My custom fields are missing. They are included in asset exports — check the field is not archived, and that your plan includes custom fields.

Archived assets aren't in the export. Archiving removes assets from active lists and reporting. Include archived assets in your view if you need them.

A report tab is locked. Depreciation and cost reports need Orbit or above.

Non-English characters look wrong in Excel. Open the CSV using Excel's text import and specify UTF-8, rather than double-clicking the file.
