Understanding plans and capabilities

UniAsset has four public plans. They unlock operational depth, not row counts.

Assets are never the meter

Assets are unlimited on every plan, including Nova. UniAsset will never ask you to upgrade because you have too many assets.

That is a deliberate commercial decision. Asset-count limits punished exactly the behaviour the product depends on — a company importing 500 assets would hit a paywall before experiencing anything useful. Import your entire inventory on day one, on the free plan.

Usage warnings fire at 80% of a limit — not at 100% — and are shown to the Owner only.

Capabilities are not permissions

Two independent checks run on every action, and both must pass.

A Viewer on Cosmos still cannot delete an asset. An Owner on Nova still cannot open the Executive Dashboard.

What happens on a downgrade

A downgrade never destroys data. This is a product commitment, not a courtesy.

When your plan drops:

  • No custom fields are deleted
  • No API keys are revoked
  • No webhooks are deactivated
  • No configuration is cancelled
  • No assets, documents or history are touched

Premium functionality simply stops answering while the capability is absent, and resumes on upgrade with nothing to reconfigure. Your Orbit-era custom fields are still there on Nova — you just cannot edit or use them until you upgrade again.

That is why entitlement is checked when data is read rather than by sweeping and deleting on plan change.

What happens if a subscription expires

An expired subscription blocks creating new records — new assets, invited users, uploaded files — while leaving all existing data fully readable.

Losing access to your own records because a card expired would be the wrong failure mode, so it does not happen.

Legacy and special plans

You may see these named in your account:

There is no trial

Nova is free forever and unlimited in assets, which serves the same purpose without an expiry date to manage. You do not need a card to start, and nothing lapses.

How to upgrade

  1. Go to Settings → Plan to see your current plan, capabilities and usage.
  2. Go to Settings → Billing → Subscription to change plan (Owner only).
  3. Pick a plan and complete checkout.

Only Orbit and Odyssey can be bought through self-serve checkout. Cosmos is sales-led — contact us. Nova and Nonprofit have no billing.

Troubleshooting

A feature is locked even though my plan should include it. Check Settings → Plan to confirm which plan is actually active. Plan is re-read on every request, so an upgrade applies immediately.

I don't see upgrade prompts. They are shown to the Owner only.

I upgraded but my old configuration is gone. It is not — nothing was deleted. Reload the page; custom fields, statuses, keys and webhooks return exactly as they were.
