Missing Assets - Find Assets That Don't Appear in Lists

Overview

Can't find an asset that should appear in your list? This guide helps you locate missing assets and understand why they might not be showing.

Common Reasons Assets Don't Appear

1. Active Filters

Filters may be hiding assets from view.

Solution:

  1. Look at the filter bar at the top of the Assets page
  2. Check if any filters are active (they'll be highlighted)
  3. Click "Clear Filters" or remove individual filters
  4. Check these common filters:
    • Status filter (might be filtering to ACTIVE only)
    • Category filter
    • Location filter
    • Department filter
    • Assignment filter

2. Asset Is Archived

Archived assets don't appear in the main asset list.

Solution:

  1. Check if the asset was archived
  2. Look for an "Archived Assets" view or filter
  3. Contact an Admin to restore the asset if needed

3. Search Too Specific

The search might not match the asset's exact name.

Solution:

  1. Try partial search terms instead of full names
  2. Search by serial number if known
  3. Use fewer search words
  4. Check for typos in your search

4. Wrong Asset Type View

You might be on the wrong page:

  • Standard assets appear on the Assets page
  • Consumables appear on the Consumables page

Solution:

  1. If looking for a consumable, check the Consumables page
  2. If looking for a standard asset, check the Assets page

5. Role Restrictions (Employee Role)

Employees can only see assets assigned to them.

Solution:

  1. Check your role in Settings
  2. If you're an Employee, ask a Manager to assign the asset to you
  3. Managers and above can see all assets

6. Asset Not Yet Created or Imported

The asset might not exist in the system yet.

Solution:

  1. Check with the person who should have created it
  2. Verify CSV imports completed successfully
  3. Check the import history for any errors

How to Find Missing Assets

Step 1: Clear All Filters

  1. Go to the Assets page
  2. Click "Clear Filters" to remove all active filters
  3. The full asset list should now appear

Step 2: Search by Different Criteria

Try searching by:

  • Asset name (partial or full)
  • Serial number
  • Manufacturer
  • Model number

Step 3: Check Categories

  1. Remove the category filter
  2. Or check each category one by one
  3. The asset might be in an unexpected category

Step 4: Check Archived Items

If your organization uses archiving:

  1. Look for "View Archived" option
  2. Archived assets won't appear in normal lists

Step 5: Verify in Reports

  1. Run an asset report without filters
  2. Export to CSV to search offline
  3. This helps confirm if the asset exists at all

Common Filter Combinations That Hide Assets

For Employees Only

The Employee role can only see assets assigned to them. If you can't see an asset:

  1. Ask for assignment - Contact your Manager to assign the asset to you
  2. Check your assignments - Review your assigned assets list
  3. Request role upgrade - If you need to see all assets regularly, request a different role

After CSV Import

If assets are missing after an import:

  1. Check import results - Review any error messages from the import
  2. Verify row was included - Ensure the asset row wasn't skipped
  3. Check for validation errors - Missing required fields cause rows to be skipped
  4. Verify category - Search in the category specified during import

Still Can't Find the Asset?

If you've checked everything:

  1. Confirm with colleagues that the asset was actually created
  2. Check if it might have been deleted (contact Admin)
  3. Verify you're in the correct organization (if you have multiple)
  4. Contact your organization's Admin for help locating the asset
