Overview
This guide helps you troubleshoot missing or undelivered email notifications from UniAsset. Email alerts are sent for critical events like overdue maintenance, expired documents, and usage warnings.
How Email Notifications Work
UniAsset sends email alerts for:

Note: Viewers, Employees, and Managers do not receive email notifications—only Owners and Admins.
Common Reasons for Missing Emails
1. Spam or Junk Folder
The most common cause is emails being filtered to spam.
Solution:
- Check your spam/junk folder for emails from UniAsset
- Mark UniAsset emails as "Not Spam"
- Add noreply@uniasset.app to your contacts
- Whitelist the domain

2. Role Does Not Receive Emails
Only Owners and Admins receive email notifications.
Solution:
- Verify your role (Settings → Profile)
- Contact your organization Owner if you need email alerts
- Consider requesting an Admin role if appropriate for your job
3. Email Already Sent
UniAsset uses deduplication to prevent email spam. You only receive one email per unique alert.
Solution:
- Check if you already received this alert previously
- New emails are sent only when new alerts are created
4. Alert Condition Not Met
Emails are only sent when specific conditions are met.
Examples:
- Maintenance must be past its due date for "overdue" emails
- Documents must be past their expiry date for "expired" emails
- Consumables must be below minimum quantity for "low stock" emails
Solution:
- Verify the alert condition is actually met
- Check the Notifications page in UniAsset for pending alerts
5. Corporate Email Filters
Your company's email server may be blocking external emails.
Solution:
- Ask your IT department to whitelist
uniasset.app - Check your company's quarantine/held messages
- Verify your corporate spam filter settings
Troubleshooting Steps
Step 1: Check Spam Folder
Search for "UniAsset" or "uniasset.app" in all email folders including spam.
Step 2: Verify Your Role
- Go to Settings in UniAsset
- Check your assigned role
- Only Owner and Admin roles receive email alerts
Step 3: Check In-App Notifications
- Click the bell icon in UniAsset
- View your current notifications
- Email alerts match what appears in notifications
Step 4: Verify Alert Conditions
- Go to the Upcoming & Alerts page
- Check if the alert you expect is listed
- Verify the condition (overdue, expired, etc.) is actually met
Step 5: Wait for New Alerts
If you just set up alerts:
- Email notifications are triggered by the system's alert check cycle
- New alerts may take up to 10 minutes to generate emails
Invite Emails Not Received
If a user didn't receive their invitation email:
- Check spam folder - Invite emails often get filtered
- Verify email address - Confirm the email was entered correctly
- Wait 15 minutes - Email delivery can sometimes be delayed
- Resend the invite - The Owner can resend from the Users page
- Copy invite link directly - As a backup, copy and share the link manually
Contact Your Email Administrator
If corporate email filtering is suspected, ask your IT team to:
- Whitelist the domain
uniasset.app - Check for blocked or quarantined messages from UniAsset
- Add these sending addresses to allowed senders:
noreply@uniasset.appnotifications@uniasset.appsupport@uniasset.app
