Overview
Organization Settings control the core identity and financial configuration of your UniAsset account. Settings here affect all users in your organization — things like currency, financial year, and your organization's name and type.
The page is split into four sections:
- Financial Settings — currency, country, and financial year start month
- Organization Details — name, slug, and organization type (Owner only)
- Demo Data — generate or remove sample data for exploring the platform (Owner only)
- Danger Zone — permanent organization deletion (Owner only)

Users with the Member or Viewer role cannot access this page — they are redirected to the dashboard.
How to Access This Section
- Log in to your UniAsset account
- Click Settings in the left sidebar
- Select Organization
- The Organization Settings page loads
Financial Settings
Financial settings affect how costs, reports, and depreciation are displayed across the platform. Both Owners and Admins can update these.
Country
- Sets the country for compliance and regional settings
- Used as context for depreciation rules and financial reports
- Optional, defaults to US if not set
Currency
- The currency symbol displayed on all cost values throughout UniAsset
- Changing the currency does not convert existing numerical values — only the symbol changes
- Supported currencies include: USD, EUR, GBP, CAD, AUD, JPY, CNY, INR, SGD, CHF, NZD, SEK, NOK, DKK, MXN, BRL, ZAR, AED, SAR, HKD, KRW, PLN
Financial Year Start

How to save financial settings
- Navigate to Settings > Organization
- Update Country, Currency, and/or Financial Year Starts as needed
- Click Save Financial Settings
- A confirmation toast appears: "Financial settings updated successfully"
Changing these settings takes effect immediately and applies to all future reports and calculations. Existing cost values stored in the database are not recalculated.
Organization Details
This section is visible and editable by the Owner only. Admins can see the page but cannot submit changes here.
Organization Name
- The official name of your organization as it appears in reports, exports, and user invitations
- Required field, maximum 100 characters
- Example: "Acme Manufacturing Ltd."
Organization Slug
- A URL-safe identifier for your organization used in links and invitations
- Rules:
- 3–50 characters
- Lowercase letters, numbers, and hyphens only
- Must start and end with a letter or number
- Must be unique across all UniAsset organizations
- Example:
acme-manufacturing - If you change the slug, any invitation links using the old slug will no longer work
Organization Type
Defines the category of your organization. The available types are:

Important — nonprofit notification trigger: If you change your organization type from any non-eligible type to NGO, Non-Profit, or Religious, UniAsset automatically sends an internal review notification to the platform team. This flags your account for a potential nonprofit plan assignment. The save still completes immediately — the notification runs in the background and does not block or delay the update.
Educational institutions follow standard pricing and do not trigger the nonprofit review.
Industry
- Set during initial registration and displayed as a read-only field
- Cannot be changed after registration
- When present, demo data generation tailors sample assets to match your industry
How to update organization details
- Navigate to Settings > Organization (must be Owner)
- Scroll to the Organization Details section (below Financial Settings)
- Update the Organization Name, Organization Type, and/or Slug
- Click Update Organization Details
- The page reloads to reflect any slug changes in the URL
Demo Data
Owners can populate the organization with realistic sample data to explore the platform before adding real assets.
What demo data includes
- Sample assets with realistic details
- Categories and departments
- Locations and custom statuses
- Maintenance records and events
- Consumable items
All demo records are prefixed with [Demo] so they are easily identifiable and never confused with real data.
Generating demo data
Demo data can only be generated if your organization currently has no existing assets.
- Navigate to Settings > Organization
- Scroll to the Demo Data section
- Click Generate Demo Data
- Read the confirmation dialog and click Yes, Generate Demo Data
- A success toast lists the counts of records created (e.g. "25 assets, 8 categories, 3 departments, 12 maintenance records")
If your organization has an industry set, the demo data is tailored to that industry.
Deleting demo data
Once you're ready to use UniAsset with your real data, remove the sample records.
- Navigate to Settings > Organization
- Scroll to the Demo Data section
- Click Delete Demo Data (visible only when demo data exists)
- Confirm in the dialog
- Only records prefixed with [Demo] are removed — real data is never affected
After deleting demo data, you can re-generate it again provided the organization has no assets.
Danger Zone — Organization Deletion
This section is only visible to the Owner. It permanently schedules the entire organization and all its data for deletion.
What gets deleted
- All user accounts
- All assets and their history
- All documents and images
- All maintenance records
- All settings and customizations (categories, departments, locations, custom statuses)
How deletion works
Deletion is not immediate — it is scheduled 30 days in the future to allow recovery from accidental requests.
- Navigate to Settings > Organization
- Scroll to the Danger Zone section
- Click Delete Organization
- Read the confirmation dialog (it names your organization and lists what will be deleted)
- Click Yes, Delete Organization
- The deletion is scheduled and a banner appears on the page showing the exact deletion date
UniAsset sends an internal notification email when a deletion is requested, including the requesting user's name and email, and the counts of users and assets in the organization.
Cancelling a scheduled deletion
You can cancel at any time before the 30-day deadline:
- Navigate to Settings > Organization
- The Danger Zone section shows the scheduled deletion date
- Click Cancel Deletion
- The organization status is restored to active and the scheduled date is cleared
After the 30-day window passes, deletion is automatic and cannot be reversed.
Important Notes & Limitations
Currency changes do not convert existing values
- Switching from USD to EUR updates the currency symbol but leaves all stored numbers unchanged
- Manually update asset cost values if conversion is needed
Organization slug must be globally unique
- If another organization already uses your chosen slug, you must pick a different one
- The system checks uniqueness before saving
Only the Owner can modify organization details and slug
- Admins cannot change the name, type, or slug
- Admins can only change financial settings (currency, country, fiscal year)
Changing org type to nonprofit triggers an internal review
- This is automatic and cannot be disabled
- The save still succeeds immediately — the review is a background process
- No action is needed from you; the UniAsset team will reach out if a plan change is appropriate
Financial year changes affect future reports only
- Existing depreciation records are not retroactively recalculated
- Set the correct financial year before adding assets for best results
Demo data requires a clean organization
- You cannot generate demo data if any real assets exist
- Delete real assets first, or use demo data immediately after creating your account
Organization deletion cannot be undone after 30 days
- Export all data before requesting deletion
- The 30-day window is the only recovery option
Frequently Asked Questions
Can Admins change the organization name or type?
No. Only the Owner can update organization details (name, slug, and type). Admins are limited to financial settings (currency, country, and fiscal year).
What happens when I change the organization type to NGO or Non-Profit?
The change saves immediately. In the background, UniAsset sends an internal notification to the platform team flagging your account for a potential nonprofit plan review. The team may reach out to verify eligibility. This does not automatically change your plan.
Can I cancel an organization deletion?
Yes, at any time before the scheduled deletion date. Go to Settings > Organization, scroll to the Danger Zone, and click Cancel Deletion. After the 30-day window closes, the deletion is irreversible.
Does changing the currency convert my existing asset values?
No. The currency symbol updates everywhere immediately, but the numbers stored against your assets do not change. If you need converted values, update asset costs manually after switching currencies.
Can I change my financial year start after adding assets?
Yes, but it only affects future reports. Historical records and previously calculated depreciation entries are not recalculated.
Why can't I generate demo data?
Demo data generation requires the organization to have no existing assets. If your organization already has assets (real or demo), the Generate Demo Data button is disabled. Delete existing assets first, or use the Delete Demo Data button to clear previously generated sample records.
What is the organization slug used for?
The slug identifies your organization in invitation links and internal URLs. It must be unique across all UniAsset accounts. Changing it immediately updates the URL — old invitation links that contain the previous slug will stop working.
