How to duplicate an asset

Duplication is the fastest way to create several near-identical assets — twelve of the same monitor, four of the same pump.

When to use this

Use duplication when you are creating a handful of records that share most of their details.

Choose something else if:

You are importing an existing inventory → CSV import
The units are interchangeable and you do not need to track them individually → Asset Stock
The item gets used up → Consumables

Requirements

Available on: All plans — assets are unlimited on every plan
Roles: Owner, Admin, Manager

Steps

Go to Dashboard → Assets (Individual) and open the asset you want to copy.
Choose Duplicate.
Set the number of copies.
Choose whether to copy images and copy documents.
Give the copies a name and adjust anything that differs.
Create.

What happens next

Each copy is a genuinely separate asset:

Its own QR tag identity, generated automatically
Its own timeline, starting with its own creation event
Its own serial number field, empty for you to fill in

Duplication copies the template, not the identity. Nothing is shared between the copies afterwards.

Important Copying documents duplicates the files, and duplicated files count against your storage quota again. Twelve copies of an asset with a 3 MB manual attached is 36 MB.

After duplicating

Fill in what makes each one distinct:

Serial numbers — the main thing that distinguishes physical units
Assigned person and location, if they differ
Purchase cost and date, if they were bought separately

Common mistakes

Duplicating twenty times for interchangeable units. Twenty identical spare keyboards belong in Asset Stock as one record with a quantity.

Copying documents you do not need on every unit. One shared manual across twelve copies is twelve copies of the manual in your storage.

Leaving serial numbers blank. The copies are then indistinguishable in every list.

Duplicating an asset with maintenance history expecting it to copy. It does not, and should not — the copies have not been serviced.

Troubleshooting

There is no Duplicate option. Creating assets needs Manager or above.

The duplication failed partway. You may have hit your storage limit if you chose to copy documents. Check Settings → Plan & Usage.

The copies all have the same name. Set a name at duplication time, then edit each one — or use CSV import if you have many.

Serial number already exists. Serial numbers must be distinct where your organization uses them uniquely. Fill in each copy's own.

"Your subscription has expired." An expired subscription blocks creating new records. Renew at Settings → Billing.
