How to Check In an Asset

Overview

Checking in an asset completes the checkout transaction. It records that the borrowed asset has been returned and is no longer in temporary custody.


Prerequisites

  • The asset must have an active checkout (blue "CHECKED_OUT" badge)
  • You must have Manager role (or custom role with assetCheckout:return permission)
  • The asset physically is back in your possession

Step-by-Step: Check In an Asset

Step 1: Open the Asset

  1. Go to Assets page
  2. Search for or click the checked-out asset name
  3. Asset detail page opens

Step 2: Verify Checkout Status

Look for the checkout status section. You should see:

⚠ CHECKED_OUT

John Smith
Expected Return: July 15, 2026
Purpose: Site inspection
Days out: 3

[Check In] button

If you see "✓ Available" instead, the asset is already checked in and you don't need to do anything.

Step 3: Click Check In

Click the [Check In] button.

A dialog will appear asking for optional information.

Step 4: Add Notes (Optional)

You can optionally add notes about the return:

Examples:

  • "Asset returned in good condition"
  • "Minor scratch on corner, no impact on functionality"
  • "Battery was at 50% when returned"
  • "Firmware updated to latest version"
  • "Returned to Building A storage room"
  • "Borrower reported normal operation"

This is useful for recording:

  • Condition — Was it damaged? Scratch? Broken?
  • Maintenance — Does it need servicing?
  • Location — Where was it stored after return?
  • Any issues — Battery low? Screen damaged?

If there are no issues, you can leave this blank.

Step 5: Review and Submit

Review the information:

Asset:  Thermal Camera
Borrowed by: John Smith
Checked out: July 12, 2026
Returned: July 15, 2026
Duration: 3 days
Notes: Asset in good condition

[Cancel]  [Check In]

If correct, click [Check In].

Step 6: Confirmation

Once submitted:

  • Status changes to AVAILABLE (gray/no badge)
  • Checkout moves to history
  • Notes are attached to the checkout record
  • Return date is recorded

After Check-In

On the Asset Detail Page

The checkout section now shows:

✓ Asset Available

Checkout History (scroll down to see this checkout):
  John Smith — July 12 to July 15, 2026 (3 days)
  Purpose: Site inspection
  Notes: Asset in good condition

On Asset Lists

The blue "CHECKED_OUT" badge disappears.

In Checkout Reports

The checkout now appears with:

  • Status: RETURNED
  • Return date: Today's date
  • Duration: Calculated days

What Happens to the Checkout Record

The checkout is closed but not deleted:

  • Remains in the checkout history for the asset
  • Visible in reports and audit trail
  • Cannot be edited (records are immutable)
  • Searchable by borrower, date, or asset

Common Scenarios

Scenario 1: Normal Return

Asset is returned on time in good condition:

Expected Return: July 15
Actual Return: July 15 (on time)
Notes: "Returned in good condition"

Status: RETURNED | Duration: 3 days

Scenario 2: Late Return

Asset is returned after the expected date:

Expected Return: July 15
Actual Return: July 18 (3 days late)
Notes: "Delayed due to extended site work"

Status: RETURNED | Duration: 6 days (overdue notification sent)

You'll still check it in normally — the system records that it was overdue.

Scenario 3: Asset Returned Damaged

Asset comes back with issues:

Expected Return: July 15
Actual Return: July 15 (on time)
Notes: "Screen has 1-inch crack. Recommend repair before next use."

Your notes go into the checkout history. Consider:

  • Creating a maintenance record to document the damage
  • Having it inspected and repaired
  • Adding to the asset's documents any repair estimates

If the Asset Is Overdue

If the asset is past its expected return date, it will show as OVERDUE with a red badge:

⛔ OVERDUE

Days Overdue: 3
Purpose: Site inspection

[Check In] button

When the asset is finally returned, check it in normally. The system will record:

  • Expected return: July 15
  • Actual return: Today's date
  • Duration: Total days out (including overdue days)
  • Status: RETURNED (no longer overdue once checked in)

In reports, overdue checkouts are visible so you can track:

  • Which assets were overdue
  • How late they were
  • Frequency of late returns from specific people

Managing Return Issues

Asset Is Missing

If an asset that should be checked in is missing:

  1. Do NOT check it in
  2. Do NOT mark as "lost" or "disposed"
  3. Contact your admin and the last borrower
  4. Investigate where it is
  5. Once found, proceed with normal check-in

Asset Is Damaged

If the returned asset is damaged:

  1. Check it in with detailed notes about the damage
  2. Create a maintenance record to document the damage
  3. If damaged beyond repair, your admin can create a disposal record
  4. For warranty claims, attach photos and repair estimates as documents

Borrower Never Returned It

If someone refuses to return or can't locate the asset:

  1. Check it in with notes: "Not returned by borrower as of [date]"
  2. Create a support ticket or incident report
  3. Your admin may need to mark the asset as lost or stolen
  4. Document in the asset history

Partial Return

If only some of a kit was returned:

  1. Check in the main asset with notes about what's missing
  2. Create a maintenance record documenting missing items
  3. Follow up with the borrower to get missing items

Common Issues and Solutions

"I don't see the Check In button"

Possible causes:

  1. Asset is already checked in
  2. Asset not checked out (never was borrowed)
  3. You don't have permission

Solution: Verify the asset shows "CHECKED_OUT" status. If not, it doesn't need check-in. If you see CHECKED_OUT but no button, contact admin about permissions.

"Check In fails with an error"

Possible causes:

  1. Server error (temporary network issue)
  2. Asset was just checked out by someone else (race condition)
  3. Validation error in notes field

Solution:

  1. Refresh the page
  2. Try again
  3. If error persists, note the error message and contact support

"I want to change who it was checked out to"

Can't edit past checkouts. Once a checkout is closed (checked in), it's immutable. If you need to correct who borrowed it:

  1. Contact your admin — they can see if correction is needed
  2. Create a note in the asset history explaining the correction
  3. For future checkouts, double-check before submitting

Best Practices

1. Check In as Soon as Asset Is Returned

Don't wait until end of day. Check in immediately when you receive it back.

Why: Accurate timestamp, asset shown as available right away, other people can check it out immediately if needed.

2. Document Condition on Return

Always add a brief note about the asset's condition:

  • "Good condition"
  • "Minor wear, normal for 3-day loan"
  • "Needs battery replacement"
  • "Has small dent on corner"

Why: Creates a record of condition for insurance, future repairs, and accountability.

3. If Damaged, Create Maintenance Record

If the asset needs repair:

  1. Check it in with damage notes
  2. Create a Maintenance record to document the damage
  3. This starts the repair workflow and costs tracking

4. Keep Notes Brief

Notes should be 1-2 sentences:

  • ✅ Good: "Returned in good condition"
  • ✅ Good: "Minor damage to corner. Functional but needs assessment."
  • ❌ Avoid: "JD said it was fine and Bob said so too and nobody noticed anything"

5. For Recurring Loans

Track patterns:

  • If same person frequently returns assets late, follow up about expectations
  • If specific assets frequently have damage, consider preventive maintenance
  • If specific locations always return late, adjust return dates or follow-up process
