Overview

Asset Lifecycle Reports track assets from purchase through active use to eventual disposal. By analyzing asset age, status changes, maintenance patterns, and assignment history, you can optimize replacement timing, plan capital investments, and ensure assets are retired at the right time.

UniAsset tracks the complete lifecycle automatically through purchase dates, status changes, assignments, and maintenance records.

How to Access This Section

Asset Age and Status

  1. Go to Assets in the sidebar
  2. View asset cards showing:
    • Purchase date (age indicator)
    • Current status (ACTIVE, DAMAGED, DISPOSED)
    • Days since last activity

Asset Events and History

  1. Go to Assets > Click an asset
  2. Scroll to Event History tab
  3. View complete lifecycle timeline:
    • Asset created
    • Status changes
    • Assignment changes
    • Maintenance performed
    • Notes added

Reports with Lifecycle Data

  1. Go to Reports > Assets tab
  2. View distribution by status:
    • ACTIVE (in use)
    • DAMAGED (needs repair)
    • DISPOSED (retired)

Lifecycle Stages in UniAsset

Acquisition

  • Asset created with purchase date
  • Initial status set (typically ACTIVE)
  • Purchase cost recorded
  • Category assigned

Deployment

  • Assigned to user, location, or department
  • Status remains ACTIVE
  • Asset enters active service

Active Use

  • Regular maintenance performed
  • Preventive maintenance scheduled
  • Costs accumulate
  • Status typically ACTIVE

Aging

  • Maintenance frequency increases
  • Repair costs rise
  • May accumulate damage
  • Approaching end of useful life

Damage/Repair

  • Status changed to DAMAGED
  • Awaiting repair or replacement decision
  • Asset temporarily out of service

Retirement

  • Status changed to DISPOSED
  • Unassigned from users/locations
  • Asset no longer in active inventory
  • May be archived for record-keeping

Event History Timeline

Every asset has a complete event log showing:

Event Types:

  • ASSET_CREATED - Initial purchase
  • STATUS_CHANGED - Status updates (ACTIVE → DAMAGED → DISPOSED)
  • ASSIGNED_TO_USER - User assignments
  • UNASSIGNED_FROM_USER - User removals
  • ASSIGNED_TO_LOCATION - Location assignments
  • DEPARTMENT_ASSIGNED - Department changes
  • MAINTENANCE_LOGGED - Service records
  • NOTE_ADDED - User comments

Event Details:

  • Timestamp
  • User who performed action
  • Before and after values
  • Additional context

Asset Age Analysis

UniAsset calculates age automatically:

Years Owned = (Current Date - Purchase Date) / 365.25

Age Categories:

  • New: 0-1 years
  • Current: 1-3 years
  • Aging: 3-5 years
  • Old: 5+ years

Use Cases:

  • Identify aging equipment
  • Plan replacement cycles
  • Budget for capital expenditures

Common Use Cases

Planning Equipment Replacement

You need to forecast which assets will need replacement next year.

Steps:

  1. Export Asset list to CSV
  2. Filter by purchase date (5+ years old)
  3. Review status and maintenance costs
  4. Prioritize assets that are:
    • Old (5+ years)
    • High maintenance cost
    • Damaged status
  5. Budget for replacements

Analyzing Asset Retirement Patterns

You want to know how long assets typically last before disposal.

Steps:

  1. Filter assets by status = DISPOSED
  2. Calculate average age at disposal
  3. Group by category
  4. Example findings:
    • Laptops: Disposed at 4 years on average
    • Furniture: Disposed at 10 years
    • Vehicles: Disposed at 8 years
  5. Use data to set replacement policies

Tracking Asset Status Changes

You need to know which assets transitioned from ACTIVE to DAMAGED recently.

Steps:

  1. Go to individual asset pages
  2. Review Event History
  3. Filter events by STATUS_CHANGED
  4. Identify patterns:
    • Frequent status changes = unreliable assets
    • Recent DAMAGED status = attention needed

Auditing Assignment History

An employee left and you need to know which assets they had.

Steps:

  1. Go to the user's profile or asset list
  2. Filter assets by assigned user
  3. Review Event History for each asset
  4. Check ASSIGNED_TO_USER and UNASSIGNED_FROM_USER events
  5. Verify all assets were properly returned and reassigned

Best Practices

Record accurate purchase dates

  • Purchase date is critical for age calculations
  • Use actual purchase date, not creation date in UniAsset
  • If unknown, estimate based on invoices or similar assets

Update status promptly

  • Change status to DAMAGED when assets fail
  • Change to DISPOSED when assets are retired
  • Don't leave old assets as ACTIVE indefinitely

Use archiving for retired assets

  • Archive assets with status DISPOSED after 1 year
  • Keeps active inventory clean
  • Preserves historical records for audits

Review lifecycle regularly

  • Monthly: Check assets approaching 5 years old
  • Quarterly: Review DAMAGED assets for replacement decisions
  • Annually: Analyze average asset lifespan by category

Document status changes

  • Add notes when changing status to DAMAGED
  • Explain why asset was disposed
  • Helps with future procurement decisions

Important Notes & Limitations

Lifecycle tracking requires accurate data entry

  • Purchase dates must be entered correctly
  • Status changes must be logged as they happen
  • Incomplete data = incomplete lifecycle picture

Event history is permanent

  • Events cannot be deleted (audit trail)
  • Events can only be created through actions
  • Provides tamper-proof history

Archived assets don't appear in reports

  • Archiving removes assets from active lists
  • Event history is preserved but not displayed
  • Restore archived assets to view their history

No automatic lifecycle stage classification

  • UniAsset doesn't categorize assets as "Aging" or "Retirement Due"
  • You determine lifecycle stages based on age, status, and costs
  • Use filters and exports for custom lifecycle analysis

Employee role sees limited history

  • Employees only see assets assigned to them
  • Organization-wide lifecycle analysis requires Manager role or above

Frequently Asked Questions

How do I see the average age of all my assets?

Export all assets to CSV, calculate age for each (Current Date - Purchase Date), then average. UniAsset doesn't provide automatic average age calculations.

Can I track when an asset was disposed?

Yes. When you change status to DISPOSED, an event is logged. Go to the asset's Event History and look for STATUS_CHANGED events.

What's the difference between DISPOSED and Archived?

DISPOSED is a status (asset is retired but still in the system). Archived means the asset record is hidden from active lists (but preserved for records). Typical workflow: Mark as DISPOSED, then archive after 1 year.

How do I find assets that haven't had maintenance in 90+ days?

UniAsset tracks stale assets (no activity for 90 days). These appear in executive dashboards and alerts. You can also filter maintenance records by date and identify gaps.

Can I see assignment history for multiple assets at once?

No. Assignment history is per-asset in the Event History tab. For bulk analysis, export assets and review the "Assigned To" column, though this shows only current assignments.

What if I don't know the purchase date?

Estimate based on invoices, warranty start dates, or similar equipment. Even approximate dates help with lifecycle analysis. You can update purchase dates later if exact dates are found.
