How Checkout Sessions Improve Field Operations
Introduction
Field operations often involve more than one asset. A site inspection might need a thermal camera, laptop, measurement tools, and safety equipment. Checking out each item individually is tedious and treats them as separate transactions when they're really part of one operation.
That's where Checkout Sessions come in. They enable teams to group multiple assets into one operational context — making checkout/check-in faster, improving accountability, and providing better operational visibility.
Note: Checkout Sessions are a Phase 2 feature, arriving in the second half of 2026. This article describes the planned functionality.
The Current Limitation
Today (Phase 1): Each asset is checked out individually, even if they're going to the same person for the same operation.
Workflow:
- Check out thermal camera to John
- Check out laptop to John
- Check out measurement tools to John
- Check out safety kit to John
That's 4 separate transactions for one operation: "Building A energy audit."
Problems:
- Tedious for person doing checkout (4 clicks instead of 1)
- Overdue tracking is separate for each item (management nightmare if one item is late)
- Reporting doesn't show that these items are related
- No unified way to close out the operation

A Checkout Session groups multiple assets into one operational context:

Status: ACTIVE
Assets in This Session:

Session Creation
When creating a session:
- Session name — "Building A Inspection", "Training Event Week 1", etc.
- Person — Who is the session checked out to?
- Expected return date — When should all items come back?
- Purpose — Detailed description of the operation
- Notes — Special handling, location details, contact info
Adding Assets
After creating the session:
- Add first asset (click "Add Asset", select, confirm)
- Add additional assets (repeat)
- System automatically assigns same expected return date to all assets
Smart feature: Assets already checked out to the same person don't appear in the add list (prevents duplicate checkout).
Status Tracking
Session has two possible statuses:
ACTIVE
- Assets can still be checked out and in
- Used to add more items
- Checkout continues
CLOSED
- No more assets can be added
- Assets still in session must be checked in
- Session is complete
Check-In Options
Option 1: Check in individual assets
- Asset 1 returned Monday → Check in immediately
- Asset 2 returned Wednesday → Check in when returned
- Session remains ACTIVE
- When all items returned, manually close session
Option 2: Bulk check-in session
- All items ready to return
- Check in entire session at once (one action)
- System checks in all member assets
- Session automatically CLOSED
Option 3: Partial check-in
- Some items returned, others still needed
- Check in returned items individually
- Other items remain in session
- When last item returns, close session

Q: Can I use Sessions if I only have one asset?
A: Yes, but there's no benefit. Sessions shine when you have multiple items. For single-asset operations, stick with individual checkout.
Q: What happens to Phase 1 checkouts when Sessions launch?
A: Nothing changes. All Phase 1 checkouts (individual items) continue to work. Sessions are a new option, not a replacement. You can use both simultaneously (some operations use Sessions, others use individual checkout).
Q: Can I close a session if one item is still checked out?
A: No. All items must be checked in before session can close. This ensures accountability — you know when the entire operation is complete.
Q: What if I need to add an item to a session after it's created?
A: You can add items anytime while session is ACTIVE. Once CLOSED, you can't add. If you need to add items later, create a new session or check out individually.
Q: Can I change the return date for all items at once?
A: Yes. With Sessions, updating the session return date automatically updates all member item return dates. Much easier than updating 5 items individually.
