Overview
Transfer organization ownership to another user when the current Owner leaves the company, retires, or hands off billing and administrative responsibility. This process safely transfers all Owner-level privileges to a new user while demoting the original Owner to Admin.
Who Can Access This
Required role: Owner (only)
Why restricted:
- Only Owner can initiate ownership transfer
- Prevents unauthorized account takeover
- Maintains security and billing control
Admins cannot transfer ownership. Only the current Owner can initiate this process.
When to Transfer Ownership
Common Transfer Scenarios
Founder Transition:
- Startup founder stepping down
- CEO retiring
- Co-founder leaving company
Billing Responsibility Change:
- CFO takes over financial control
- IT Director assumes system ownership
- New executive replaces departing one
Succession Planning:
- Owner leaving company (resignation, termination)
- Owner on extended leave (medical, sabbatical)
- Owner transitioning to advisory role
Emergency Access:
- Owner unavailable (accident, illness)
- Owner locked out of account
- Business continuity requirement
⚠️ Critical: Transfer ownership before the current Owner leaves. Once they're gone, you may need support intervention to regain access.
How to Transfer Ownership
Current Status: Ownership transfer feature is not yet fully implemented in the UI.
Planned functionality:
- Navigate to Settings → Users (Owner only)
- Find the user you want to make Owner
- Click ⋮ (three-dot menu) next to user
- Select Transfer Ownership
- Confirmation dialog appears:
- "Transfer ownership to [User Name]?"
- Warning: "You will be demoted to Admin. This cannot be undone without new Owner's approval."
- Checkbox: "I understand I will lose Owner privileges"
- Type user's email to confirm:
user@company.com - Click Transfer Ownership
Result:
- Selected user becomes Owner
- Original Owner demoted to Admin
- Billing access transferred to new Owner
- Transfer logged in system audit trail
What Happens During Transfer
For Original Owner (You)
Immediately lose:
- ❌ Billing and subscription access
- ❌ Payment method management
- ❌ Ability to delete organization
- ❌ Ability to transfer ownership (new Owner now controls this)
- ❌ Invoice access and download
Retain (as Admin):
- ✅ All asset management capabilities
- ✅ User management (invite, remove, change roles except Owner)
- ✅ System configuration (categories, locations, departments)
- ✅ Full operational access
You are now Admin, not Owner.
For New Owner
Immediately gain:
- ✅ Full system access (all Admin capabilities)
- ✅ Billing and subscription management
- ✅ Payment method updates
- ✅ Ability to delete organization
- ✅ Ability to transfer ownership to someone else
- ✅ Access to invoices and billing history
Responsibilities:
- Manage subscription renewals
- Update payment methods when card expires
- Oversee organization-level decisions
- Handle billing disputes
For Organization
No changes to:
- Assets, categories, locations, departments
- User accounts (except Owner/former Owner role changes)
- Historical data and audit trails
- Subscription plan (continues unaffected)
- Billing cycle (no interruption)
Audit trail entry created:
- "Ownership transferred from [Original Owner] to [New Owner]"
- Timestamp
- Both user IDs recorded
Prerequisites for Transfer
Target User Requirements
The person you're transferring to must:

Already be a user in your organization
- Cannot transfer to non-existent user
- Invite them first if needed (Settings → Users → Invite)

Have Admin role (recommended)
- Can transfer to Manager/Viewer, but not recommended
- Best practice: Promote to Admin first, then transfer

Have verified email address
- User must have logged in at least once
- Email verification required

- Not deactivated
- Not pending removal
Billing Prerequisites
Before transferring:

Update billing email (if applicable)
- Settings → Billing → Billing Contact
- Change to new Owner's email
- Ensures invoices go to correct person

- Update billing contact in Razorpay (if applicable)

Post-Transfer Steps
For Former Owner (Now Admin)
After transfer completes:

Verify demotion
- Check that your role shows "Admin" (Settings → Users)
- Confirm you no longer see Billing menu

- Verify you can still manage assets
- Confirm you can still invite users

Optional: Remove yourself
- If leaving company, ask new Owner to remove your account
- Settings → Users → Remove (new Owner only)
For New Owner
After receiving ownership:

- Confirm you can access billing page

- Add new credit card if business card changed

Communicate the change:

Reversing a Transfer
Can Transfer Be Undone?
Not automatically.
If you accidentally transferred ownership:
- Ask new Owner to transfer it back to you
- New Owner goes to Settings → Users → Transfer Ownership
- Selects original Owner (now Admin)
- Ownership returns to original Owner
If new Owner refuses or is unavailable:
- Contact support: support@uniasset.app
- Provide proof of authorization (company email, documentation)
- Support may require legal verification
Emergency Ownership Transfer
Owner Unavailable (Accident, Illness, Termination)
Problem: Owner left company suddenly, account locked.
Solution:

- If yes: Have them transfer ownership immediately
- If no: Proceed to emergency process

Scenario 3: Succession Planning
Situation: Owner retiring, deputy prepared to take over
Timeline:
- Month -3: Deputy invited as Admin (if not already)
- Month -2: Deputy shadows Owner, learns billing processes
- Month -1: Deputy verifies access to payment processor accounts
- Week -1: Ownership transfer executed
- Day 1 post-transfer: Deputy (now Owner) takes full control
- Week 1: Original Owner removed from system

Limitations
Cannot Transfer to Non-User
Cannot transfer ownership to someone who isn't a user.
Workaround:
- Invite target person (Settings → Users → Invite)
- They accept invitation and log in
- Promote to Admin (optional but recommended)
- Then transfer ownership
Only One Owner Allowed
UniAsset enforces one Owner per organization.
No co-ownership. If multiple people need billing access, only one can be Owner. Others can be Admins with operational control but not billing access.
Workaround:
- Owner handles billing
- Admin handles operations
- Owner delegates billing tasks via separate billing portal (Razorpay)
Transfer is Not Immediate (Email Verification)
Planned behavior:
- New Owner may receive email confirmation
- Must click "Accept Ownership" link
- Transfer completes after confirmation
Why: Prevents unauthorized transfers
Cannot Transfer During Billing Dispute
If subscription is in dispute or payment failed:
- Transfer may be blocked until billing issue resolved
- Contact support for assistance
Best Practices
1. Plan Transfers in Advance
Don't wait until Owner's last day.
Best timeline:
- 2-4 weeks notice
- New Owner onboarded and familiar with system
- Transfer executed 1 week before Owner departure
2. Document Billing Information
Before transfer, document:
- Subscription plan and pricing
- Renewal date
- Payment method details (last 4 digits)
- Billing contact email
- Razorpay customer ID (if applicable)
Share with new Owner for continuity.
3. Test New Owner's Access First
Before transfer:
- Promote target user to Admin
- Have them explore Settings → Billing (can view, not edit)
- Ensure they understand subscription details
- Then execute transfer
4. Update Billing Contacts Everywhere
After transfer:
- Update Razorpay billing contact
- Update company procurement records
- Update AP/AR systems
- Notify finance team
5. Communicate to Team
Send team-wide email:
Subject: Organization Ownership Transfer
Effective [date], [New Owner Name] is now the UniAsset account Owner.
Billing questions → Contact [New Owner]
Operational questions → Contact [Former Owner or Admin]
No changes to your access or daily workflows.
Troubleshooting
"I can't find the Transfer Ownership option"
Current Status: Transfer Ownership feature is not yet fully implemented.
Workaround:
- Contact support: support@uniasset.app
- Provide: Current Owner email, target new Owner email, justification
- Support will execute transfer manually
"User says they didn't receive confirmation email"
Check:
- Verify email address is correct
- Check spam/junk folder
- Resend confirmation (if available)
- Contact support if email not received after 1 hour
"Transfer failed with error"
Possible causes:
- Target user not verified
- Billing issue (unpaid invoice)
- Target user already Owner of another organization
Solution: Contact support with error details
"Former Owner still sees Billing menu"
Cause: Browser cache not refreshed.
Solution:
- Log out and log back in
- Clear browser cache (Ctrl+Shift+Delete)
- Refresh page (Ctrl+F5)
Frequently Asked Questions
Can I transfer ownership to someone outside my organization?
No. The new Owner must be an existing user within your organization.
Does transfer affect subscription pricing?
No. Subscription plan and pricing remain unchanged.
Can I transfer ownership back after transferring?
Yes, but only the new Owner can initiate the reverse transfer.
What happens if I transfer ownership and then leave the company?
You (former Owner, now Admin) can be removed by the new Owner. Ask new Owner to remove your account after transfer.
Does transfer notify the new Owner?
Yes (planned). New Owner receives email notification requiring confirmation.
Can I transfer ownership to a Viewer or Manager?
Technically yes, but not recommended. Best practice: Promote to Admin first, then transfer.
