How to browse all files and images
Most of the time you look at a document from the asset it belongs to. Sometimes you need the other view: everything, across the whole organization.
Requirements
- Available on: Nova, Orbit, Odyssey, Cosmos
- Roles: Owner, Admin, Manager, Employee, Viewer can view files they have access to
Files
Dashboard → Files lists every document attached to any asset in your organization — warranties, invoices, certificates, manuals, compliance documents.
Use it when you know a document exists but not which asset it is filed against.
Images
Dashboard → Images lists every image attached to any asset.
Each asset can have one image designated as its primary image — the one that appears in asset lists and cards. Set it from the asset's Images section.

Note that Documents and Files are different modules. Documents holds document assets. Files holds attachments.
Storage
Both files and images count against your plan's storage quota.

Archiving a file or image releases its quota immediately, and the action is reversible — the file is retained so you can unarchive it, which re-adds the bytes.
Check your usage at Settings → Plan & Usage. Warnings appear at 80% of a limit, and are shown to the Owner.
Common mistakes
Looking for licences in Files. Licences tracked as document assets are at Dashboard → Documents.
Deleting files to free space when you may need them later. Archive instead. Archiving frees the quota and can be undone.
Uploading full-resolution photos for everything. Storage fills fastest through images.
Troubleshooting
A file I uploaded isn't in the list. Check whether it was archived. Archived files leave active views.
I'm near my storage limit. Archive documents and images you no longer need actively. That frees quota without losing anything. If you genuinely need more, upgrade.
Uploads are being rejected. You are at your storage limit, or your subscription has expired — an expired subscription blocks new uploads while leaving existing files readable.
The wrong image is showing in asset lists. Open the asset's Images section and set a different primary image.
