Getting started with Projects

Projects coordinates assets, people, and work around an operational initiative — an event, a cleanup, a health camp, a fit-out, or any effort that needs a shared context for longer than a single check-out.

Requirements

  • Available on: Odyssey, Cosmos, Welcome (while active), and Nonprofit
  • Locked on: Nova and Orbit — Projects appears in the sidebar with a lock; open it to review eligible plans
  • Roles: You need project permissions for your role. Typically Owner, Admin, and Manager can create and manage projects; check Roles and permissions if a control is missing

What a project is (and is not)

A project answers: what initiative are these assets and people supporting?

It is not:

  • An asset category
  • A substitute for assignment or check-out
  • A full project-management suite with budgets or Gantt charts

Allocation earmarks an asset for the project. It does not change custody, location, assignment, or asset status. See How to allocate assets to a project.

Where to find Projects

  1. Sign in to UniAsset.
  2. Open Dashboard → Projects in the Organization section of the sidebar.

If you see a locked Projects screen instead of a list, your plan does not include Projects yet. See Why can't I see this feature? and Understanding plans and capabilities.

Create your first project

  1. Go to Dashboard → Projects.
  2. Choose Create Project.
  3. Fill in the form:
FieldRequiredNotes
NameYese.g. Event at Mumbai, Building A cleanup
CodeNoLeave blank to auto-generate (e.g. PRJ-0001)
PriorityNoDefaults to Medium
OwnerNoA person from your People directory
DepartmentNoOptional cost-centre context
Planned start / Planned endNoDate-only planning window
DescriptionNoWhat the initiative is about
ObjectivesNoGoals and deliverables
  1. Choose Create Project.

You are taken to the project detail page.

What you see after creating

The project opens on Overview, with tabs for:

  • Assets — allocate and release equipment
  • Team — add people with project roles
  • Tasks and Milestones — track work items
  • Work orders — link existing work orders
  • History — project events

New projects start in Planned status. Start the project when work begins — see Managing the project lifecycle.

You can set a Primary location later when editing the project.

Finding the project again

  • Dashboard → Projects lists active projects with search and status filters
  • Use Show archived when you need finished projects that were archived
  • The main Dashboard can show a Projects summary when you have project data and Projects is on your plan

What to do next

  1. Allocate the assets the initiative depends on.
  2. Add the team and track tasks or milestones.
  3. Start the project when execution begins.

Troubleshooting

Projects is locked. Upgrade to Odyssey or Cosmos, or use Welcome / Nonprofit if those apply to your organization. Nova and Orbit do not include Projects.

Create Project is missing. Your role may lack project:create. Ask an Owner or Admin.

I can't find a person for Owner. Add them under Dashboard → People first. Owners are people records, not only user accounts.

I set planned end, but the project didn't complete. Planned dates do not auto-complete projects. Status changes are manual.
