Managing project teams, tasks, milestones, and work orders
Once a project exists, use its tabs to coordinate people and work. This article covers what UniAsset supports today — not a theoretical PM methodology.
Requirements
- Available on: Odyssey, Cosmos, Welcome (while active), and Nonprofit
- Roles: Project update / team / task permissions as applicable for your role
- People records for team members and task assignees — see How to manage people
- Existing work orders if you want to link maintenance work — see Understanding work orders
Team
- Open the project → Team.
- Choose a Person, a project Role, and optionally a Responsibility note.
- Add the member.
Project roles
These roles describe participation on the project. They do not replace system permissions (Owner, Admin, Manager, and so on).
| Role | Typical use |
|---|---|
| Project Manager | Owns coordination of the initiative |
| Coordinator | Day-to-day organisation |
| Member | Contributor |
| Observer | Visibility without active ownership |
To remove someone from the active team, end their membership. The row is preserved for history rather than deleted.
Tasks
- Open Tasks.
- Enter a Title.
- Optionally set Priority, Assignee (a person), and Due date.
- Create the task.
You can complete, reopen, or delete tasks from the list when you have permission.
Progress on the Overview tab shows completed / total for tasks (and a percentage when there is at least one task). Empty lists show that there are no items yet — UniAsset does not invent a fake combined score across unrelated work.
Milestones
- Open Milestones.
- Create a milestone with a title and target date (as offered in the form).
- Complete or reopen milestones as the initiative progresses.
Milestone progress is also shown as completed versus total on Overview.
Work orders
Projects can link existing work orders that belong to your organization. Linking attaches maintenance execution to the initiative; it does not create a separate work-order engine inside Projects.
- Open Work orders.
- Link a work order from the available list.
- Unlink when the association no longer applies.
Work order status always comes from the work order itself. Completing a project does not close linked work orders automatically.
History
The History tab records project events such as status changes, team changes, allocations, and related updates. Use it when you need an audit trail for the initiative — distinct from the asset Activity feed, which records asset-level events including allocate and release.
Practical workflow
- Add the core team before allocating large equipment sets.
- Create milestones for decision points (kickoff, go-live, handover).
- Add tasks for concrete actions with owners and due dates.
- Link work orders only when maintenance work is genuinely part of the same initiative.
- Review Overview progress bars before status changes such as Complete.
Troubleshooting
I can't add a person. They must exist under People. Archived people cannot be selected.
Assignee list is empty. Same as above — create or restore the person record.
No work orders to link. Create the work order under Work Orders first (Orbit+ maintenance access), then return to the project. Work orders must belong to the same tenant.
Progress shows 0%. There are tasks or milestones, but none are completed yet — or there are no items.
