Overview
Moving assets between locations is a common task when:
- Equipment is relocated to a different office or building
- Assets are transferred during office moves or reorganizations
- Items move between storage and active use areas
- Employees change offices or work locations
UniAsset tracks every location change with a complete audit trail, recording:
- When the move happened
- Who made the change
- From which location
- To which location
This guide covers moving single assets, bulk transfers, and best practices for maintaining accurate location records.
Moving a Single Asset
Step 1: Open the Asset
- Navigate to Dashboard > Assets
- Find the asset you want to move
- Click on the asset to open its details
Step 2: Edit the Location
- Click the Edit button
- Find the Location field
- Select the new location from the dropdown
- (Optional) Add a note explaining the move in the Notes field
Step 3: Save the Change
Click Save or Update Asset.
The change is logged immediately:
- ✅ Asset now shows the new location
- ✅ History log records the move with timestamp
- ✅ Previous location is preserved in audit trail
- ✅ Reports update to reflect the new location
Bulk Moving Multiple Assets
When relocating many assets at once (office moves, reorganizations):
Method 1: Using Multi-Select (if available)
- Go to Dashboard > Assets
- Use filters to find assets in the current location
- Select multiple assets using checkboxes
- Click Bulk Actions > Change Location
- Choose the new location
- Confirm the bulk update
Example: Moving all assets from "Old Office" to "New Office - Floor 2"
Method 2: Using CSV Export/Import
For very large moves:
Step 1: Export Current Assets
- Go to Dashboard > Assets
- Filter to show only assets you want to move
- Click Export > Download CSV
Step 2: Update Locations in Spreadsheet
- Open the CSV in Excel or Google Sheets
- Find the Location column
- Replace old location with new location
- Find/Replace: "Old Office" → "New Office - Floor 2"
Step 3: Import Updated Data
- Go to Dashboard > Assets > Import
- Upload the modified CSV
- Map the Location column
- Review changes and confirm import

Moving Assets to Sub-Locations
When moving assets within a hierarchical structure:
Example: Moving from a building to a specific room
Before:
Asset: Laptop #1234
Location: Building A
After:
Asset: Laptop #1234
Location: Building A - Floor 2 - Room 205
This provides more granular tracking while maintaining the connection to the parent location (Building A).

Tracking Moves in Asset History
Viewing Move History
Every location change is logged:
- Open an asset
- Scroll to Activity History or Audit Log
- Look for entries like:
Location changed from "Building A - Room 101" to "Building B - Room 205" By: John Doe On: 2026-01-15 at 10:30 AM
What Gets Recorded
- Timestamp: Exact date and time of the move
- User: Who made the change
- Old Location: Where the asset was before
- New Location: Where the asset moved to
- Notes: Any comments added during the edit
Exporting Move History
For compliance or auditing:
- Export asset data with history
- Filter by date range to see moves during a specific period
- Use location reports to see all assets that changed locations
Common Moving Scenarios
Office Relocation
Moving an entire office to a new building:
Steps:
- Create the new location (if not exists): "New Office - Downtown"
- Filter assets by current location: "Old Office"
- Bulk update all assets to new location

Employee Office Change
When an employee moves to a different room:
- Find all assets assigned to that employee
- Update location for their computer, monitor, phone, etc.
- (Optional) Use assignment field to maintain employee link

- Change location to "Storage" or "Warehouse"
- (Optional) Change status to "Stored" or "Inactive"

Option A: Use Status Instead of Location
- Keep location: "Building A - Room 101"
- Change status to "Under Repair"
- Add maintenance record with repair location
Option B: Use Temporary Location
- Create location: "Repair Shop - External"
- Move asset to repair location
- Move back when repair is complete

Best Practices
Always Update Locations Promptly
Update asset locations immediately after physical moves:

- ✅ Helps locate assets quickly
- ✅ Prevents "lost" assets in the system
Use Intermediate "In Transit" Locations
For moves that take time:
Create location: "In Transit"
Use it when assets are being moved but not yet at destination
This explains why an asset isn't at its old or new location during the move.
Add Notes for Significant Moves
When editing location, add context:
- "Moved due to office renovation"
- "Transferred to new department"
- "Relocated after equipment upgrade"
Notes appear in the audit log for future reference.
Conduct Post-Move Audits
After bulk moves:
- Generate a location report for the new location
- Physically verify assets arrived
- Update any discrepancies

Plan Large Moves in Advance
Before a major relocation:
- Export current asset list by location
- Plan which assets go to which new locations
- Create new locations in the system
- Print asset labels if doing physical audits
- Update system as items are physically moved
Use Status for Long-Term Storage
If assets are in storage indefinitely:
- Update location to "Storage"
- Change status to "Stored" or "Inactive"

Troubleshooting
Can't Find the New Location in Dropdown
Problem: The location you want to move to doesn't appear.
Solutions:
- Verify the location exists in Settings > Locations
- Create the new location if it doesn't exist
- Refresh the asset edit page
- Check for typos in the location name
Accidentally Moved to Wrong Location
Problem: You selected the wrong location and saved.
Solution:
- Edit the asset again immediately
- Change location to the correct one
- Add note: "Corrected location entry"
- Both changes are logged in history
Bulk Move Didn't Update All Assets
Problem: Some assets weren't updated in bulk operation.
Possible Causes:
- Assets were filtered out before selection
- Permission restrictions on certain assets
- Import errors if using CSV method
Solution:
- Check error messages or import logs
- Verify which assets weren't updated
- Manually update remaining assets
- Or retry bulk operation with correct filters
Need to Undo a Bulk Move
Problem: Bulk moved assets to wrong location.
Solution:
- Export the affected assets
- In CSV, change location back to original
- Re-import with updated locations
- Or use bulk edit to change back (if available)
Asset history will show both moves.
Location vs Assignment
Understand the difference:
Location: Where the asset physically is
- "Building A - Floor 2 - Room 205"
- Changes when asset physically moves
Assignment: Who is responsible for the asset
- "Assigned to: John Doe (IT Department)"
- Changes when ownership/responsibility changes

Asset: Laptop #1234
Location: Building A - Room 205
Assigned to: Jane Smith
Jane takes the laptop to a meeting:
Location: Building B - Conference Room A (temporary)

No. Location and assignment are independent. You can move an asset to a new location while keeping it assigned to the same person.

Not automatically. Update the location when the move physically happens, or add a note with the planned move date.
